A day in your life as a Enterprise Content Manager
Under the direction of the Enterprise Operations Group Leader, this position has responsibility for leadership and management of the Enterprise Content Management (ECM) department.  This position would include defining and designing the process, the development and implementation of taxonomies, scanning efforts, and all ECM projects to ensure that paper and scan management requirements for all BUs within the Bank are reviewed, discussed, analyzed and implemented.    The Enterprise Content Manager will be responsible for providing oversight, guidance, and enforcement regarding the creation, retention and destruction (lifecycle) of all business records and content for the Bank of Hawaii. This position will also seek to reduce liability and risk of outdated, transient, redundant, and trivial content that hinder enterprise processes.    The ECM Manager will also provide day to day functional ECM fulfillment of requests for the business units, including creating appropriate training for the Bank on ECM processes, and managing the Enterprise Content Management Steering Committee duties, schedule and management.  This position ensures the business units compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act. 

 

Well give you these important responsibilities 

  • Strategic: Finalizes development and implementation of the strategy for the Enterprise Content Management program for the Bank focusing on documentation scanning, retention and storage needs for the Bank.  Creates and implements analysis for the Content Management Group and develops strategic and operational short and long-term plans for the Enterprise Content Management team to implement within the scanning and storage teams.  This position will address identified retention issues by developing and implementing customer interaction models and quality measurements for the documentation requirements for each business unit.     
  • Operations: Gives direction to the Scanning team and to Business Units on how to apply the Enterprise Contact Management program as the new policies are implemented across the Bank.  Works with Business Units to identify how documents shall be maintained and what documents are required for retention according to all Rules and Regulations for the Business Unit.  Works with a variety of departments, (Legal, Info Sec., Risk, and IT) to ensure that the appropriate actions are being taken on all documents being retained in any form.  Evaluates and recommends process improvements, training, staffing and other changes that will enhance efficiency, improve compliance and/or reduce expense. Ensures that activities are compliant with local, state and federal laws and regulatory requirements.  Carries out operational plans to ensure that documents currently being retained are appropriate according to the newly implemented strategy.  Responsible for the management of all employees in the team including staffing and scheduling, compensation, performance management, training and development.   Goal is to attract, retain and motivate the team to achieve management business objectives and maintain a favorable employee relations climate.  Responsible for the timely and effective management of People Services forms and documents relevant to immediate staff.
  • Budget: Manages expenses to budget and forecasts expenses. Assists with the annual budget, analyzes and reports on variances and takes corrective action.  Evaluates success of cost cutting and efficiency changes and measures any changes in quality of transactions and service for the Enterprise Content Management group. 
  • Maintains professional and technical knowledge, establishes personal and professional networks and benchmarks state-of-the-art practices. Ensures the Group consistently meets or exceeds all established standards for productivity, service and quality within the new processes.
  • Performs all other miscellaneous responsibilities and duties as assigned.

This position requires use of a personal computer and other standard office equipment (typewriter, fax, copier, calculator and telephone).

  • Education: Bachelors degree from an accredited institution or equivalent work experience.
  • Experience: Minimum 7 years of document management or relevant work experience.
  • Technical Skills: Demonstrated proficiency with personal computers and Microsoft applications (Outlook, Word, Excel, Access, and PowerPoint) or similar software. Knowledge of or ability to use Bank software and systems.
  • Other Job Qualifications: Ability to build and manage effective teams and cultivate productive working relationships.  Possess exceptional customer service, written communication, and presentation skills.  Demonstrated skills in organizing and implementing process improvements. Must have strong strategic planning and execution skills. Should be analytical, detail oriented and organized. Strong problem-solving, organizational and decision-making capabilities. Requires the ability to handle multiple changing priorities. Should be able to analyze complex situations quickly and recommend solutions and alternatives. Able to adapt quickly in a changing regulatory environment. Must have strong project management and leadership skills. Must be able to work across divisions and departments and maintain working relationships with other business units.  Must maintain knowledge of changing technologies.
