A day in your life as a Procurement Analyst:
Under the direction of the Enterprise Procurement and Purchasing Manager, this position is responsible for facilitating procurement transactions for Bank of Hawaii, processing purchase orders, assisting in the management of vendor suppliers, and supporting other internal users by performing other related duties.  If applicable or appropriate, assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.

We’ll give you these important responsibilities…
  • Facilitates procurement/purchase order process for assigned more-straightforward transactions.  Ensures procurement documentation complies with committee approvals and Bank policies.  Generates purchase orders using automated system and distributes to vendor and requestor. May interface with Controllers to determine accuracy of general ledger information used in purchase order generation.
  • Participates in education of business units and internal staff on procurement processes. May perform periodic reviews of hardware maintenance coverage and helps identify cost saving opportunities.  Resolves billing issues and conducts periodic billing reviews.  Escalates reclassification of expense issues to Controllers. 
  • Assists with the preparation of and analysis for financial reports for operating and capital expenditures to support business units.  Opens TRAC/FRAC approved projects and assign CRID numbers using the automated system.  
  • May assist with projects that require Procurement Operations involvement.   May assist with administration of the Bank’s corporate credit card program.  
  • Maintains the contract database by entering the procurement transactions and works to preserve data integrity.  Facilitates the scanning of contract documents into department repository and maintains vendors’ hard copy files.
  • May assist in evaluation of existing and future products/services for alternative financial options and also looks for efficiency improvement opportunities.  Keeps informed and abreast of current bank policies and procedures.


Qualifications

Education: 
  • Bachelor’s degree from accredited institution, preferably with major in accounting, finance or other business area, or equivalent work experience.

Experience: 
  • Minimum 3 years of purchasing/vendor management experience in positions of increasing responsibility, or equivalent work experience, with at least 6 months - 1 year of significant contract negotiation experience or complex contract administration, or similar responsibilities. 
  • Should have working knowledge of software/hardware technology from a procurement perspective.

Technical Skills: 
  • Demonstrated proficiency and expertise with personal computers and Microsoft applications (Outlook, Word, Excel, Access and PowerPoint) or similar software.  
  • Proficiency with Microsoft Project or similar software preferred. 
  • Knowledge of or ability to use Bank software and systems.

Other Job Qualifications: 
  • Demonstrated verbal and written communication skills, including presentation and negotiation skills.  
  • Able to make and facilitate presentations for all levels of employees.  
  • Must be analytical, detail oriented, and organized in managing multi-project, multi-tasked responsibilities with varying deadlines.  
  • Able to meet deadlines and handle multiple priorities.  
  • Must have effective interpersonal skills and collaborative management style to include teamwork, team building, conflict management, and problem solving skills.  
  • Able to understand, analyze, and review contracts with legal terms and conditions. 
  • Must have ability to understand and analyze technology, service, purchasing and pricing issues. 
  • Able to work flexible hours including holidays, weekends and evenings as needed or assigned.
