A day in your life as a Tax Administrative Officer

Under the direction of the Tax Department Manager, the Tax Administrative Officer is responsible for monitoring and improving performance against all compliance performance requirements of the Trust Tax Department.  This position is responsible for the oversight of the support staff, ensuring efficient processes and quality client service.  Assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.


We’ll give you these important responsibilities…

  • Manages and prepares monthly reporting requirements, including but not limited to general excise tax, nonresident alien withholding tax, accounts receivable, tax service fees, and management reports.
  • Effectively oversees and/or manages the client and tax data through OneSource, ProSystem fx Practice Management and ProSystem fx Tax.
  • Performs assigned administrative tasks.  Assists the administrative support staff during peak times and Tax Preparers with tax compliance work.
  • Oversees the 1099 outsourced engagement, resolving issues and responding to inquiries. Reviews random sample of returns annually to ensure compliance.  Manages the tax payment process, including check payments and communicating amounts due to the account officer.
  • Manages the department software, interfacing with IMSG, to ensure software is timely updated and tested prior to rollout to the department staff.
  • Manages, organizes and maintains the department’s working templates and network folders
  • Compliance responsibilities including but not limited to performance requirements, policies and procedures to minimize errors and maximize efficiency.
  • Performs all other miscellaneous responsibilities and duties as assigned.

  • Bachelor’s degree from an accredited institution or equivalent work experience.



  • Minimum 3 years of experience in positions with income tax responsibilities.
  • Requires understanding of federal and state income tax provisions.
  • Lead or supervisory experience preferred.
  • Process improvement experience also preferred.


Technical Skills: 

  • Demonstrated proficiency and expertise with personal computers and Microsoft applications (Outlook, Word, Excel, Access, and PowerPoint) or similar software. 
  • Knowledge of or ability to use Bank software and systems. 
  • Must have good spreadsheet skills, as well as understanding of and ability to use tax software.

  • Demonstrated written and verbal communication skills.
  • Must have excellent administrative and organizational skills with the ability to handle multiple tasks and priorities within set deadlines.
  • Must be analytical and detail oriented.
  • Demonstrated interpersonal skills with the ability to build and maintain strong working relationships.
  • General knowledge of the Bank’s products and services preferred.
  • Able to work flexible hours including holidays, weekends and evenings as needed or assigned.
