A day in your life as a Wealth Administrator

Under the direction of the Team Leader/Wealth Advisor, this position is responsible for the administration of IRA accounts where the bank is trustee or custodian and for investment agency accounts.  Provides relationship management skills, advice and guidance in the area of Individual Retirement Account (IRA) administration, including Traditional, Roth and SEP IRAs.  Provides a high level of customer service to clients, financial advisors and beneficiaries.  Administers accounts in a manner that ensures compliance with Internal Revenue Code and business line policies and procedures.  Shares responsibility for soliciting, developing, managing and retaining client relationships for Personal Trust.  If applicable or appropriate, assists in business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Fair Banking, Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.

  • Supports Wealth Advisor in the administration of IRA and agency accounts, adhering to regulatory and compliance requirements, policies and procedures and ensuring that the objectives of the grantor/principal are met and are consistent with governing documents, policies and procedures and fiduciary administration principles.
  • Handles processing of requests or issues brought by grantors, beneficiaries and others including distributions and retirement account funding.  Monitors and controls risk in all aspects of account administration including Internal Revenue Code requirements and timeframe restrictions as they relate to IRAs, including required minimum distributions, discretionary distributions, 72(t) distributions, terminating accounts, account conversions, combining of accounts, rollovers/transfers, accurate tax coding and reporting for 1099 and 5498 reporting, avoiding/resolving prohibited transactions as defined by Internal Revenue Code. Also entails completing required investment and administration reviews and solving identified issues within a timely manner.
  • Provides support to the Wealth Advisor in retention, growth and profitability of assigned client relationships. Comprehends breadth of wealth management products and services.  Calls clients to establish, maintain and expand relationships, including the sales of IRA, agency, trust, investment deposit, credit, and related services and focuses on retention and deepening relationships. 
  • Provides service and support for Wealth Advisor and overall Team as a unit to meet servicing and sales objectives such as calling activities and pipeline management. Schedules appointments for Wealth Advisors utilizing Outlook.  Handles all client contacts and calls proficiently and effectively.  Integrates job responsibilities within bank and trust to maintain the highest level of client service to meet Bank of Hawaii’s standards.
  • Keeps current on all Individual Retirement Account business trends and changes in law affecting IRA administration.  Participates in Continuing Education classes/seminars/telephone briefings.
  • Complies with all Bank policies and procedures, the Bank of Hawaii Code of Business Conduct & Ethics and all Fair Banking, Anti-Money Laundering, Bank Secrecy Act, information security and suspicious activity reporting requirements.  Participates in required corporate and business line training in these areas.
  • Follows account opening procedures and understands and follows internal suspicious activity referral requirements and processes, as required for this position.
  • Performs all other miscellaneous responsibilities and duties as assigned.

  • Bachelor’s degree from an accredited institution or equivalent work experience.



  • Minimum 3 - 4 years of work experience in the retirement, investment or financial services field. 
  • Extensive knowledge of general retirement and investment products and services including, but not limited to retirement plans, trust and investment products and services.


Technical Skills: 

  • Demonstrated proficiency with personal computers and Microsoft applications (Outlook, Word, Excel, and PowerPoint) or similar software.
  • Knowledge of or ability to use Bank software and systems.


Other Job Qualifications: 

  • Uses initiative to work in unstructured high pressure work environment with minimal or no supervision. 
  • Adapts quickly and can willingly embrace change. 
  • Possesses excellent verbal and written communication skills.
