A day in your life as a Workflow Coordinator

Under the direction of the Lockbox Process  Manager, this position coordinates workflow activities of the unit to ensure that services are delivered reliably, professionally, and that services meet the quality expectations of our customers in accordance with and in support of department and division activities.  If applicable or appropriate, assists with the business unit’s compliance with applicable laws, regulations, regulatory requirements and Bank policies and procedures, including but not limited to those related to Anti-Money Laundering laws and regulations, Bank Secrecy Act and USA PATRIOT Act.  In addition, this position is responsible for demonstrating the Excellence in Sales/Service (ESS) philosophy by participating in and practicing ESS disciplines and behaviors.


We’ll give you these important responsibilities…

  • Coordinates activities of the work unit to ensure that established goals and objectives are met for ARP Account Reconciliaton Package, Online Image Statement, Lockbox :  maintains, follow-up for assigned functional areas; monitors workflow and unit’s performance; tracks and reports performance to established guidelines and in accordance with service level agreements; provide systems support for technical functions as required. Must be able to lift/carry up to 50 pounds. Ability to work flexible hours and shift work. May include weekends and holidays.
  • Assists the Manager  by overseeing staff performance:  provides input into progress reviews and performance goals; may review timesheets; may track and log absences, vacations, etc., ; assists manager  in overseeing staff compliance to Code of Ethics and all other policies of the bank, division, and department. Assist in managing staff members in the section including staffing and scheduling, compensation, performance management, training and development. Goal is to attract, retain and motivate the team to achieve management business objectives and maintain a favorable employee relations climate. Responsible for the timely and effective management of Human Resources forms and documents relevant to immediate staff.  Performs duties of direct reports in the event staffing levels are insufficient to meet production deadlines.
  • Responsible for the daily duties of processing ARP (Account Reconciliation Pacakage): reviews daily positive pay exceptions from the clients, process return decisions as directed by the the clients decisions, meet all established deadlines/timeframes. Reviews check amounts and check numbers for discrepencies and correct as needed.
  • Contributes to the management of operating expenses:  prepares work schedules that provides for the completion of production jobs in accordance with timeliness specified in service level agreements while minimizing overtime,  and other operating expenses.
  • Communicates and work with other shift/cost center workflow coordinators and supervisors, internal and external customers, technical support staff, and service representatives to ensure uninterrupted work flow. Must be able to learn, operate and service computer equipment: on-line image equipment; Lockbox equipment, ; on-line system printers and processing devices during staffing shortages/high peak volumes. May also provide Item Processing support as needed.
  • Performs all other miscellaneous responsibilities and duties as assigned.

  • High School Diploma, G.E.D.  or equivalent work experience.


  • Two years of banking experience in related positions of progressive responsibility. 

Technical Skills:

  • This position requires use of a personal computer and other standard office equipment (typewriter, fax, scanner, copier, calculator, telephone, cd burning). 
  • Working knowledge of Microsoft Office (Excel and Word). 
  • Knowledge of basic accounting and 10 key.
